WhatsApp and SMS appointment reminders with consent, the kind that also win back free slots

Any tool can send a reminder. TerminJet keeps using the same consented channel: when someone cancels, the freed-up slot goes automatically as an offer to the right person on your waitlist. The reminder becomes the entry point, and the channel becomes revenue.

Why the channel matters

WhatsApp gets read. That is exactly why the reminder is only the beginning.

A reminder lowers no-shows. But the real lever is using the same channel the moment a slot does open up.

How it works

From opt-in to refilled slot, one channel, one flow

  1. Schritt 01

    Capture consent at booking

When booking through your form, customers tick a clear box for reminders by WhatsApp or SMS. The time and wording are documented, the basis for every later message.

  2. Schritt 02

    Send the reminder automatically

TerminJet sends the appointment reminder via WhatsApp automatically, with SMS as a fallback. You set the template, lead time and tone per appointment type. A single reply is enough to confirm or cancel.

  3. Schritt 03

Detect the cancellation, free the slot

When someone replies with a cancellation, the slot is instantly marked as refillable instead of sitting empty in the calendar. This is exactly where every pure reminder tool stops.

  4. Schritt 04

    Refill over the same channel

The engine ranks your consented waitlist and sends the right person an offer by WhatsApp or SMS. If they say yes, the appointment is booked, without a single call.

The difference

Not an SMS gateway, a channel that wins back slots

A classic SMS or WhatsApp gateway sends messages and stops there. TerminJet connects the reminder directly to the engine: every cancellation that comes in over the channel automatically starts the refill over that very channel. That turns a cost centre into a revenue lever.

What goes into the message

Reminders that fit real practices, salons and workshops

WhatsApp automatically, SMS as fallback

WhatsApp first, because it gets read. If no WhatsApp number is on file or delivery fails, SMS kicks in automatically. No contact slips through the cracks.

Templates per appointment type

Check-up, first consultation, colour treatment or inspection: each appointment type gets its own template, lead time and tone, industry-appropriate instead of generic.

A reply, not a one-way street

Customers confirm, cancel or ask to reschedule, right in the chat. The reply steers the calendar, not an extra phone call.

Documented consent

Every message requires a recorded consent. Time, channel and wording are on file, for GDPR-compliant proof and calm audits.

On your own domain

Messages and form run under your name, not through a portal. It is your instance, no shared SaaS, no foreign brand in between.

EU-hosted and encrypted

Hosted at Hetzner in Germany, sensitive data encrypted with AES-256. Contact data never leaves the European area.

One cancellation by WhatsApp, two worlds

The same message, two outcomes. On the left a pure reminder tool, on the right TerminJet.

Without TerminJet
  • The reminder goes out, someone replies "Sorry, I have to cancel."
  • At best the cancellation lands in an inbox that nobody reads right away.
  • The 11 a.m. slot stays empty, and today's revenue is gone.
  • Whoever is on the waitlist never learns that something opened up at short notice.
With TerminJet
  • The cancellation reply sets the slot to "free" automatically and starts recovery.
  • The engine ranks the consented waitlist by fit and availability.
  • The best person gets an offer by WhatsApp right away, over the same channel.
  • If they say yes, the 11 a.m. slot is booked, without anyone picking up the phone.

Common questions about WhatsApp and SMS appointment reminders

Can I just send appointment reminders by WhatsApp?

Only with consent. WhatsApp and SMS reminders to customers need consent given in advance and documented (GDPR Art. 6). TerminJet captures this opt-in at booking and records the time, channel and wording. Without recorded consent, no message is triggered.

How high is the open rate really?

In practice, WhatsApp and SMS messages are opened almost completely, with typical figures of 98 to 100 percent. That is exactly why the channel suits not only the reminder but also the short-notice refill of slots that have opened up.

What happens if someone replies to the reminder with a cancellation?

The cancellation marks the slot as refillable straight away. The engine assesses your consented waitlist and sends the right person a replacement offer over the same channel. If no one responds, the next person moves up automatically. Your team keeps the overview in the history.

Is TerminJet just a WhatsApp or SMS gateway?

No. A gateway only sends messages. TerminJet is an appointment-reminder SMS software connected directly to the booking and recovery engine: reminder, confirmation, cancellation and refill run as one flow instead of across separate tools.

Does this run through a portal or under my own name?

Under your own name. TerminJet is white-label on your own domain, not a shared portal like Doctolib, Jameda or Treatwell. It is your own instance, EU-hosted at Hetzner, with AES-256 encryption for sensitive data.

What if someone has no WhatsApp number?

Then SMS kicks in automatically as a fallback. That way the reminder reaches customers without WhatsApp too, without you having to maintain two systems.
