Your waitlist should fill slots, not sit in a spreadsheet

Most practices keep a list of waiting patients and call them one by one when something opens. TerminJet turns that list into automatic, consent-based offers the moment a slot frees up.

What TerminJet does differently

Matching that fits speech therapy

Not every waiting patient suits every opening. The template ranks by indication, child or adult, in-school timing and earliest start date, so a freed afternoon slot reaches the school-age patients who need it.

Two lists, one engine

Keep patients waiting for any place and patients waiting for a better time in the same system. When a slot opens, the right group is offered first, in the order you set.

No more phone tag down the list

Instead of calling six people to fill one therapy session, the offer goes out by WhatsApp or SMS and patients answer on their own time. The slot books itself the moment someone says Yes.

Visible, not a black box

You see who was offered each slot, who replied, and why each patient ranked where they did. The agency tunes the rules with you so the automation matches how your practice triages.

How it works

  1. Schritt 01

Patients join the waitlist with consent

On your own site, people add themselves with their indication, preferred times and WhatsApp or SMS opt-in. No data entry for your front desk.

  2. Schritt 02

    An opening triggers ranked offers

When an appointment frees, the engine picks the best-matched waiting patients and sends each a short offer in order, one reply window at a time.

  3. Schritt 03

The slot is booked and the list updates

The first Yes takes the slot and comes off the waitlist. Everyone else stays in place for the next opening. Nothing to mark off by hand.

FAQ

How is the offer order decided?

By how well each patient fits the slot: matching indication, suitable time of day, earliest start date and any priority you define. You set the weighting with the agency, and you can always see the resulting order.

Can patients add themselves, or do we enter them?

Patients add themselves through a form on your own website, with their preferences and consent. You can also add people manually if a request comes in by phone.

What stops us offering a slot to someone unsuitable?

Hard rules exclude anyone who can't take the slot, for example a start date that hasn't arrived or a time that clashes with school. Only eligible, consented patients are ever offered.

Do we lose control over who gets contacted?

No. You can require approval before any offer sends, adjust the ranking, and pause the automation per slot. The system proposes; you stay in charge.
